Tent Rental Must Knows

When the skies are your ceiling, and the grass is your floor, hosting an outdoor event under a tent can transform a typical gathering into an unforgettable experience.

However, there's a bit more to consider than just picking out the perfect tent. And unless you’ve rented a tent before, you don’t know what you don’t know.

At Unica Party Rentals, our event specialists have seen their fair share of tent setups gone wrong—and we don’t want it to happen to you!

Just like in any good relationship, there are a few red flags you should be aware of before signing up with just any tent rental service. Here’s a list to ensure your event is remembered for all the right reasons!

Here’s What You Need to Look Out for Before Renting a Tent

1. Not Asking About Permits

Always ask whether it's your responsibility or the vendor's to secure fire department permits for tents larger than 20'x20'. Ideally, your vendor should be flagging this for you. Not advising on required permits after surpassing specific square footage is a red flag that could lead to legal troubles.

2. Starting Site Unseen

Skipping a site consultation is like flying blind. Your contractor should insist on one to anticipate any potential issues.

3. Not Flagging Unexpected Obstacles

Trees, balconies, or poles that could scratch the floor or block the tent are more than just an inconvenience—they're a hazard. Steep stairs can be tricky, especially when deciding between water barrels and cement blocks for securing your tent.

A good contractor should be on the lookout for these and let you know if they notice something that could cause a problem. A great contractor will help you come up with solutions if they identify any potential problems.

4. Not Checking the Grounds

The stability of the ground where your tent will be placed is crucial for safety and comfort. Uneven or soft ground? That's a red flag waving. Not checking for underground obstructions is a major oversight that could lead to logistical nightmares. A good contractor should be able to identify this and offer quick solutions.

They should also be asking if the tent's height, peak, length, and width will fit your property perfectly. And is it the right size for your indoor rentals? Size matters in ensuring your space feels just right.

5. Playing With Fire (& Water)

For heating purposes, the type of tent (white or clear) could make a difference in what's safe to use. Your contractor should guide you on whether flammable materials are a no-go.

On the opposite end: Your contractor should confirm if there's a water source available for water barrels—it's essential for both practical and safety reasons.

6. Not Asking Essential Questions

Are you dreaming of hanging signs or adding flair to your tent? What about having lights inside?

Your contractor should verify what your electrical source will be, as well as any additions to ensure they have the proper support in place well in advance.
